Quota Management

Set and manage response quotas for balanced sample composition

Overview

Quotas ensure your sample has the right mix of participants. Instead of whoever responds first, quotas guarantee representation across key demographics or behaviors.

Panel Quota Management

Each panel can have its own quota configuration.

Accessing Quotas

  1. Navigate to Recruit tab

  2. Select a panel

  3. Click Manage Quotas

Quota Overview Card

The quota card shows:

  • Total target responses

  • Current completion count

  • Overall fill percentage

  • Individual quota status

Quota Level Editor

Define quotas at various levels of detail.

Simple Quotas

Single-dimension quotas:

Quota

Target

Filled

Male

50

32

Female

50

45

Nested Quotas

Multi-dimensional quotas:

Age 18-34
├── Male: 25
└── Female: 25Age 35-54
├── Male: 25
└── Female: 25

Adding Quotas

  1. Click Add Quota

  2. Select the criterion

  3. Enter target count

  4. Repeat for each group

Add Nested Quota Dialog

For complex quotas:

  1. Click Add Nested Quota

  2. Select primary dimension (e.g., Age)

  3. Select secondary dimension (e.g., Gender)

  4. Enter counts for each cell

  5. Save the quota structure

Quota Progress Bar

Visual progress indicators show fill status:

Color

Meaning

Green

On track (50-100% of target pace)

Yellow

Slightly behind (25-50% of target pace)

Red

Significantly behind (<25% of target pace)

Quota complete

Quota Edit Sheet

Edit existing quotas:

  1. Click on any quota row

  2. Modify the target count

  3. Save changes

Changes apply to new responses only; existing responses aren't affected.

Quota Fill Counts

Monitor fill status in real-time:

Overfill Handling

When a quota fills:

  • New matching participants are screened out

  • Other quotas continue accepting

  • Overfill protection prevents excess

Quota Empty State

When no quotas are configured:

  • "No quotas set" message appears

  • All qualified participants can complete

  • First-come, first-served basis

Setting Up Quotas

Step-by-Step

  1. Identify key variables: What dimensions need balance?

  2. Calculate targets: How many per cell?

  3. Create structure: Simple or nested?

  4. Monitor fill rates: Adjust if needed

Example Quota Setup

For a study needing 200 responses with gender and age balance:

Best Practices

Quota Design

Guideline

Reason

Start broad

Easier to fill, then tighten

Allow some flex

±5% prevents blocking

Monitor early

Catch fill issues quickly

Balance complexity

More cells = slower fill

Common Quota Structures

Population Representative: Match census or market proportions

Equal Split: Same number per cell

Oversampling: Extra in key segments for subgroup analysis

Troubleshooting Slow Fill

Issue

Solution

Cell too small

Combine with similar cells

Criteria too strict

Relax some requirements

Low incidence

Increase incentive or broaden

💡 Tip: Start with slightly higher targets than needed. Some responses may fail quality checks, and having buffer prevents shortfall.
